Privacy notice
Estate planning is personal. This notice explains, in plain English, what information Assisted Estate Planning holds, why we need it and the choices you have.

Who is responsible for your information?
Assisted Estate Planning Ltd is the controller of the personal information covered by this notice. We are registered in England and Wales under company number 15594665 and with the Information Commissioner’s Office under reference ZB675030.

The information we may collect
Depending on the stage and nature of our relationship, this may include:
- your name, contact details, date of birth and identity information;
- information about your family, relationships, beneficiaries and professional advisers;
- details of property, savings, investments, pensions, businesses, liabilities, income, gifts and existing estate-planning documents;
- your aims, instructions, decisions, correspondence, meeting notes and documents;
- sensitive information, such as health or capacity information, where it is relevant to the work; and
- basic technical information generated when you visit our website, such as security and server logs.
You may give us information about another person—for example a family member, attorney, trustee or beneficiary. Please make them aware that their information may be shared with us and direct them to this notice where appropriate.
Where information comes from
Most information comes directly from you. We may also receive it from the professional who introduced you, another adviser acting for you, Solidus, a legal or document provider, identity-checking services, public records, or another person where you have authorised this or the law otherwise permits it.
Why we use it
Where we rely on legitimate interests, we consider the need for the processing, its likely effect on you and whether your rights override our interests.
Who we may share information with
We only share what is reasonably needed. Depending on your instructions and the service, recipients may include:
- Solidus Independent Estate Planning Ltd and the relevant supporting legal or document-preparation team;
- your introducer or other professional advisers, but only where you have agreed or another lawful reason applies;
- specialist providers supporting identity checks, secure communications, file storage, IT, accounting, insurance, compliance and professional advice; and
- courts, regulators, law-enforcement bodies or other authorities where disclosure is required or permitted by law.
Some recipients act for us, while others are responsible for their own use of your information and will provide their own privacy information. We do not sell your personal information.
AI-assisted tools and meeting records
We may use carefully selected AI-assisted tools to help transcribe, summarise, draft or check work. Alex remains responsible for reviewing the output and for the advice given. We minimise the information used, apply appropriate security and contractual safeguards, and do not make decisions about you based solely on automated processing where those decisions would have a legal or similarly significant effect.
If a call or meeting is to be recorded or transcribed, we will tell you beforehand. You may ask questions or raise any concern before it begins.
International transfers and security
Some technology providers may process information outside the UK. Where this happens, we use a lawful transfer mechanism and appropriate safeguards. We use proportionate technical and organisational measures to protect information, although no email or internet service can be guaranteed completely secure.
How long we keep information
We keep information only for as long as it is reasonably needed for the purpose collected, our legal and professional obligations, insurance requirements and the defence of possible claims. As a guide:
- enquiries that do not proceed are normally kept for up to two years;
- client and complaint records are normally kept for at least six years after the work or complaint ends, and estate-planning records may be retained longer because of their lasting significance;
- identity-checking records are kept for any period required by applicable law; and
- marketing details are kept until you opt out, with a minimal suppression record retained so we respect that choice.
We may keep information for a different period where the relevant client agreement, law or a particular circumstance requires it.
Your rights
Depending on the circumstances, you may ask for access to your information, correction, deletion, restriction, transfer to another organisation, or object to particular uses. You may withdraw consent at any time where consent is the basis used. These rights are not absolute, and we will explain if an exemption applies.

Changes to this notice
We review this notice regularly and will publish any updated version here. If a material change directly affects an existing client, we may also tell them separately.
